Have you filled in your group code correctly? Your challenge administration in your organization should have given you a six-digit group code to fill in as the last step when you register. This means that you cannot choose the code yourself. The code is different depending on the organization and group you belong to.
I entered the wrong group code when registering my account. How do I change the group or company?
You can easily adjust this by accessing your profile in the app (your profile can be found in the top right corner of the overview page). Then tap on change group/company. Then enter your correct group code. That's it!
Problems with signing in
Have you been logged out of the app for some reason and are having trouble logging back in? This may be because you have entered the wrong email address or password.
- Double check that you have entered the correct email address and password.
- Are you not sure which email address you registered with? Contact your internal administrator in your organization or Wellbefy support.
- Have you forgotten your password? You can easily change it by clicking on the text Forgot your password? which you can find on the same page as you log in to the app.
Registered with the wrong email address, how do I change it?
If you've accidentally registered with the wrong email address, don't worry. If you are logged in to the app, you can easily update your email address under your profile (your profile can be found in the top right corner of the overview page). You can also contact your internal administrator in your organization or Wellbefy support.
02. Team challenges
The automatic pedometer does not work, what should I do? (iPhone)
If you have an iPhone, the Wellbefy app can register steps and exercise data from Apple's Health app!
1. Go to your profile in the Wellbefy app (your profile can be found in the top right corner of the overview page). Then tap on Activity settings and make sure that Read steps and activities from the Health app is on. If you have started the integration, it may take a little while before the steps and exercise data start to download.
You can try reloading the Wellbefy app, and in some cases, you will need to log out and in from the Wellbefy app for the integration to start immediately. Good to know is that the Wellbefy app only registers steps and exercise data from the day you registered in the app onwards. If it does not work, try the steps below.
2. Go to the settings on your mobile phone, scroll down and tap the Apple Health app. Tap on Data access and devices. See if the Wellbefy app is there and if Steps(and other exercise data if you want) is enabled. If not, switch it on. Then double-check in the Wellbefy app if the steps start downloading automatically. If not, follow the next step.
3. Try logging out of the Wellbefy app and logging in again and see if the window to activate the link to the Apple Health app comes up and then accept the integration. Sometimes you may need to delete the app and download it again and log in.
The automatic pedometer does not work, what should I do? (Android)
If you have an Android, the Wellbefy app can get steps and exercise data from Health Connect! All brands have different health apps by default. In order for us to be as compatible as possible and be able to retrieve steps and exercise data from all types of Android mobiles and watches, we have chosen an integration with Health Connect.
1. Go to your profile in the Wellbefy app (your profile can be found in the top right corner of the overview page). Then tap on Activity settings and make sure that Readsteps and activities from Health Connect is on.
If you have started the integration, it may take a little while before the steps and exercise data start to download. You can try reloading the Wellbefy app, and in some cases you will need to log out and in from the Wellbefy app for the integration to start immediately. Good to know is that the Wellbefy app only retrieves steps and exercise data from the day you registered in the app onwards. If this does not work, try the steps below.
2. Make sure the Health Connect app is activated or downloaded on your mobile phone.
3. Make sure to connect your favorite health app to Health Connect, for example, Samsung Health, Google fitness, fitbit, Runkeeper etc.
4. Try logging out of the Wellbefy app and logging in again and see if the window to activate the connection to Health Connect comes up and then approve integration. Sometimes you may need to delete the Wellbefy app and re-download it and log in.
How does the automatic step counting work?
If you approve the Wellbefy app's connection to Apple Health (if you have an iPhone), and Health Connect (if you have an Android), the Wellbefy app can integrate step data from these apps and record it automatically. For this to work, you need to approve the link after registration or subsequently activate the link in the Wellbefy app settings. If you want, you can also approve the app to integrate your workouts automatically. But for this to work you need to register workout in Apple Health or in Health Connect.
How do the points of activities work?
What activities are available and how many points individual activities give can vary. Each organization can control the range, adding or removing activities to simplify.
See our standard list of activities and associated points here(in Swedish). Based on our standard list, there are exercise activities. By default, the activities are around 1 point per minute. Some activities have slightly lower and slightly higher scores. In the activities that stand out, the score is based on how intense the activity is to perform and whether the activity is performed mainly over a long or short period of time. This is only an approximate scoring. Of course, pace and physical capacity can affect your effort, which we do not measure.
If you have feedback and thoughts, please share them with your Wellbefy administrator in your organization. They may be able to update your scoring.
How are group scores calculated?
The group score is averaged. That is, the score of the group members is divided by the number of group members. This allows groups to have different numbers of people, which of course makes it more fair in the scoring.
How do I delete registered activities?
Tap the box showing steps and minutes on the overview page to access My Exercise. At the bottom, you can see your most recent recorded activities, tap View all to see recorded activities further back in time. Tap on one of the activities to bring up an edit window, choose to Delete or edit an activity, and then tap Save.
NOTE! You cannot delete automatic pedometers and activities that the integration downloads automatically. If you wish to delete such an activity or if incorrect data is retrieved, please contact Wellbefy support for further assistance.
Is it possible to connect an pulse tracker/ smart watch to the Wellbefy app?
Yes, you can connect a pulse tracker/smartwatch which the Wellbefy app can integrate data from. To do this, you need to connect the smartwatch to the Health App (iPhone) or Health Connect (Android). Once the watch is synced to one of these two health apps it should work. You might need to approve Wellbefy to integrate data from Apple Health or Health Connect. If the Wellbefy app already has an approved integration to one of these two apps, all steps and exercise data will be synced to the Wellbefy app. You will be asked the integration question the first time you log in to the app. If you miss the prompt, you can always go to Activity Settings in the Wellbefy app. Read more about it under the heading above - The automatic pedometer does not work, what should I do?
NOTE! Unfortunately, some smartwatches are not compatible with the Apple Health (iPhone) or Health Connect (Android). If you are unsure how to connect your smartwatch to these two apps, it is easiest to google, then you can find a specific guide for your watch.
Should I register an activity when I already received points for steps when I performed the activity?
Yes, you should do that. If the automatic step counter is on and you register an activity that also generates a lot of steps, a question will pop up automatically - Were your steps counted during the exercise session? You can read more about scoring higher up on this page. Under the heading - How do the points of activities work?
My points are not registered in the challenge, what should I do?
This may be due to two reasons. - Each organization can decide which activities should be linked to your specific team challenge. It may be that your activity is not included. You can easily see this if you go to the page where you register your activity and click on the top to see the full list of activities. If the activity you have selected does not have the team challenge name under it, it is not linked to your team challenge. If you have feedback on this, please contact your internal challenge administrator.
- Sometimes you may need to reload the app for your points and activity to count. To test this, exit the Wellbefy app (and delete Wellbefy from your history) and reopen it. You can also try reloading the Wellbefy app directly in the app - on several pages in the app you can drag your finger down the screen, and a loading symbol should appear which will disappear when the loading is complete. If problems persist, contact Wellbefy support.
Why am I not visible under my group?
If you do not appear under your group in the challenge, it is because you do not belong to a group or your group has not been activated in the challenge. If so, please contact your internal team challenge administrator. Once this is fixed, you and your registered activities and points will be visible.
What does orange text/high-performance mean?
Orange text next to a registered activity means that you have reached a level of High Performance during the day. High Performance is a feature that means if you reach over 150 points in a day, 80% of the points will then be reduced. Each new day it starts over. You can see which activities where points have been reduced by the points being displayed in orange color.
150 points correspond to about 22,000 steps or 2.5 hours of exercise. Which is a high level of activity!
I miss an activity, is it possible to add it?
If you have feedback about adding an activity to be counted towards your team challenge, we recommend that you contact your internal challenge administrator as a first step. For some organizations, we at Wellbefy are your administrators and your organization will inform us.
RADERA Is it possible to count for steps when I have not wore my phone during an exercise?
If you do not know the number of steps, you can register one of the activities based on your walking a distance, for example walking or running within the specified time afterward. If you know exactly how many steps you have taken, you can easily register your steps by registering the activity Steps that you can find in the activity list.
03. Engagement & Health survey
How do the surveys work?
Your organization can send out questions that you can choose to answer in the app or through the web. The questions can have theme on your actual work environment and how it affects you and/or questions related to your health. Your answers are stored anonymously.
All answers are summarised in different groupings where the most common structure is organization level and group level (your workgroup). The frequency of the questions can vary and is something decided by your HR/Director. It can be anything from several questions annually to a few questions every week, and the whole range in between.
At Wellbefy, we recommend that questions be sent out regularly, preferably at least monthly. But it depends on the maturity and working methods of your organization. The value of monitoring your and your colleagues' perceived well-being more frequently is that psychosocial well-being is rapidly changing. There is also a legal requirement from the Swedish Work Environment Authority to systematically monitor psychosocial and organizational health. But as always, have your say and let your administrator (HR/CEO) know - What frequency do you want?
Why should I answer the survey?
These surveys are mainly for you and your colleagues, so that you can build the best possible workplace together with your manager. A workplace where you and your colleagues thrive and feel good. Answering the questions is an opportunity for you to have your voice heard when it comes to your experience of the work environment. You can influence the organization's work to improve your health and that of your colleagues. At the same time, it gives you an opportunity to reflect on your own well-being and how you can influence your situation.
Your activity to develop your own well-being and support your colleagues is an essential part of developing a sustainable organization, but above all for yourself. That you can go to work feeling a strong sense of job satisfaction and commitment, while maintaining good health. And that you can come home feeling energized for yourself, your family and friends - you deserve it!
Your employer also has a legal responsibility to create a sustainable work environment. Your responses and feedback are part of the key for your employer to create the right conditions for a good working environment and health.
How do I answer the questions?
You can answer the questions via the app or the web, and it can be varied from time to time. Whatever suits you best.
App - If you use the app, you will receive a push notification when it is time to answer the questions, including a reminder if you have not yet answered. You then answer under the Questions page in the app.
Web - If you use the web, you will receive an email sent to you when it is time to answer the questions, also a reminder if you have not answered yet. You'll see the first question in the email and then, with the click of a button, you can go to the web to answer all the questions. The questions will appear automatically when you enter the site and are logged into your profile. If the questions do not appear straight away, you can find them at the top right by clicking on the bell.
The answering system is the same for both app and web. You tap on one of the men (or other answer options) that match your answer to the question, enter feedback if you want to indicate or clarify something and tap on the next button. The feedback function is only available on the questions related to your work environment and not on the questions related to your personal health.
How does the written feedback work?
When answering questions related to your perceived work environment, there is the possibility for you to fill in free text as feedback. This is valuable for your manager and HR/CEO, who can then use the feedback to develop your team and the organization. Feel free to use the feedback to make suggestions for action and desired change, express your feelings and give your opinion. Providing suggestions for action has the greatest impact.
Feedback, like questions, is summarised anonymously. The HR/VD (main administrator) receives all feedback in one place and can see which workgroup the feedback comes from. Your manager can only see the feedback that you or your teammates submit.
Are my answers anonymous?
Yes, your answers are completely anonymous. All responses are summarised by default at organization level and at group level (the most common is workgroup). Wellbefy has a basic threshold where responses are only shown within a group if there are at least five of you in the group, and at least five have responded to a single question for a result, for that specific question, to be visible. This can be adjusted up or down. If it is adjusted downwards, we have a requirement that HR/leaders must inform all employees about it. The advantage is that by default, you as an employee can also see the same results, i.e. summed up results at the organization level and group level (on the group/groups to which you belong). Same thing here, if there are less than five of you in your group, the results will not be visible to you either.
How often are the questions sent out?

What happens if I don't answer?
If you do not answer the questions, no answer will be counted in the results of the survey from you. You can only answer the questions when they are available to you in the app/on the web. The questions remain available for a certain period of time, and you will receive a reminder during that period if you have not answered.
But remember, answering the questions is important, it gives you an opportunity to influence and make your voice heard!
What happens if I answer wrong?
You can correct your answers during the ongoing measurement period. However, you can only do this in the Wellbefy app.
Tap on the Questions page in the menu and then tap on the archive box icon in the top right corner. Select the question you want to adjust the answer to, correct your answer and then click Save.
How does the analysis work?
You can follow the analysis and results on the Analysis page in the app and on the web. By default, you can see your own, your group's and your organization's results for surveys related to the work environment. For surveys related to your personal health, you can only see your personal results. Your manager cannot see the results of surveys related to personal health for your group. Only HR/CEO can see the results summarised at organizational and group levels.
The answers are summarised under different key figures. These include the key figures Work Environment and Health. Other key figures are psychosocial well-being, physical well-being, employeeship, commitment and leadership.
You can also track your strengths and opportunities for development based on the latest surveys. This can help you develop your work environment and health. You can read more about each question and result if you are curious. Based on your result, you will receive recommended micro items and exercises that can empower you.
Where can I see my answers?
You can view your answers both in the app and on the web. In the app and on the web, you will find the results on the first page when you open the app/web, on the Overview page.
If you want to dig deeper into your or your team's answers, you can click on an individual question or on the key indicator Work Environment or Health.
04. Settings
How do I remove push notifications?
You can easily adjust this by going to your profile in the app (your profile can be found in the top right corner of the overview page). Tap on Notifications and then you can choose to switch off your notifications.
What languages can I choose between?
Wellbefy is available in Swedish, English, Norwegian and Finnish. The app detects which language your mobile phone is set to and then activates the same language as the mobile phone has. If your language is not available, the default is English. If you wish, you can change the language.
App - You can change the language of your profile in the app (your profile can be found in the top right corner of the overview page).
Web - You can change the language under your name in the menu.
Is it possible to delete my user?
To delete your user, contact your internal Wellbefy administrator in your organization. Or contact Wellbefy support.
Good to know! For those organizations that use Wellbefy only for a team challenge/wellbeing initiative on a single occasion, we will delete all employee accounts after 6 months if no more initiatives are made and if the organization account is inactive.
The data is only used to empower you and your organization. When answering questions, the data is used to raise awareness about how you and your colleagues are doing. In the case of a team challenge where, for example, exercise data is saved, the exercise data is summarised to provide an update and results on how you and your colleagues are doing in the team challenge. But also for your personal development if you use the Wellbefy app to follow your steps and exercise goals regularly.
We at Wellbefy do not use your data for anything other than each organization's own purpose in using the Wellbefy platform. Which means that all data stays within each organization. Read more about it in our Privacy Policy.
What data is Wellbefy saving?
We store three things that can be identified as personal data.
1. your work email (if you have not provided any other email address) 2. response data from answered questions. 3. exercise data, i.e. steps and registered exercise activity. As well as other activities that the organization creates in connection with a team challenge that you register. If we delete your user, your name and email address will disappear. Your data remains in the system anonymised but is impossible to link to a specific person/ID. You can find more information about this in our Privacy Policy.
Deleted data
Deleting your account, i.e. your name and email address, can be done by any administrator of the tool. If your user is deleted, your name and email address will disappear. Your data remains in the system anonymised but is impossible to link to a specific person/ID. Response data always remains in the system until the day your account is deleted. This is to allow the organization to compare results back in time. You can find more information about this in our Privacy Policy.
Can anybody see what I have answered?
It is very important to us that you feel comfortable with Wellbefy and can answer the survey questions as honestly as possible. All your answers are anonymous and the answers recorded cannot be linked to you as an individual by your employer. The answers are averaged and made visible at team and organizational levels (not at an individual level).
